Administrator/Senior Administrator - Real Estate


Due to continued expansion across the group, we are recruiting for a Administrator/Senior Administrator - Real Estate in our Guernsey office.

Job purpose and overall objective

To provide a high-level and quality service to clients with the day-to-day administration of a portfolio of corporate clients. Develop Equiom's network of real estate contacts in London, Guernsey and elsewhere - promoting Equiom and the services we offer. Supporting the Assistant Manager with the administration of overseas property structures.

Main responsibilities and duties

  • Assisting the manager on a day-to-day basis with the team’s workload
  • Administering a portfolio of companies owning commercial properties
  • Dealing with all aspects of property transactions and liaising with external parties 
  • Drafting minutes and certain legal documents (Powers of Attorney, Letters of Authority etc.) and undertaking preliminary reviews of external legal documents
  • Attending client meetings, preparing agendas, taking minutes and following up on transaction points raised
  • Ensuring that all payments and receipts have been processed and updated
  • Ensuring that accurate bookkeeping records are maintained
  • Maintaining all KYC documents for clients 
  • Incorporating and dissolving entities
  • Preparing reports and statements

Essential experience and qualifications

  • A good understanding of external regulations and legislation and of internal policies and procedures, including anti-money laundering, risk assessment and signing authority limits
  • Previous experience of working with private and corporate clients
  • Good IT skills across multiple platforms

Desirable experience and qualifications

  • Previous experience of administering property structures would be desirable
  • Be studying towards STEP or ICSA qualification or equivalent IFS Trustee Diploma
